Senior Office Administrator & Operations Lead

Our client, a dynamic organization, is seeking a highly experienced and proactive Senior Office Administrator & Operations Lead to manage and streamline administrative and operational functions within a fully remote setting. This pivotal role requires exceptional organizational skills, a keen eye for detail, and the ability to manage multiple priorities efficiently. You will be responsible for ensuring the smooth functioning of the organization's administrative operations, supporting various departments, and contributing to overall operational excellence from your remote workspace. The ideal candidate is a self-starter, possesses strong communication skills, and is adept at utilizing technology to enhance productivity and efficiency.

Key Responsibilities:
Oversee and manage daily administrative operations, including but not limited to, correspondence, filing, scheduling, and general office support for a remote workforce. Develop, implement, and maintain efficient administrative policies and procedures. Manage vendor relationships and procurement of office supplies, equipment, and services, ensuring cost-effectiveness. Coordinate travel arrangements, accommodations, and itineraries for team members as needed. Process expense reports and manage company credit cards, ensuring accuracy and compliance with policies. Maintain and update organizational databases, contact lists, and employee records. Assist in the onboarding process for new remote employees, including setting up necessary accounts and providing administrative orientation. Support the planning and execution of virtual team events, meetings, and workshops. Act as a primary point of contact for internal and external inquiries, directing them to the appropriate personnel. Manage and organize digital filing systems to ensure information is easily accessible and secure. Assist with budget tracking and reporting for administrative expenses. Identify opportunities to improve operational efficiency and implement new administrative solutions. Ensure compliance with company policies and relevant regulations. Handle sensitive and confidential information with discretion. Provide general administrative support to various departments as required. Contribute to fostering a positive and productive remote work environment. Qualifications:
High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration or a related field is preferred. Minimum of 4-6 years of experience in office administration, operations management, or a similar role, preferably in a remote or distributed team environment. Proven experience in managing administrative processes, vendor relations, and basic budgeting. Excellent organizational, time management, and multitasking skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Slack, Zoom, Google Workspace). Strong written and verbal communication skills, with attention to detail. Ability to work independently, take initiative, and proactively solve problems in a remote setting.
