Remote Executive Assistant - Mlolongo

Our client is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive remote administrative support to their senior leadership team. This is a critical, fully remote role requiring exceptional communication, organizational, and time-management skills. The ideal candidate will thrive in a fast-paced environment, anticipate needs, and seamlessly manage complex schedules, travel arrangements, and correspondence. You will act as a gatekeeper, facilitator, and trusted advisor, ensuring the efficient operation of executive functions. This position demands a high degree of professionalism, discretion, and a commitment to maintaining confidentiality. The ability to multitask effectively, prioritize tasks, and adapt to changing demands is essential. We are looking for an individual who is tech-savvy, proficient in various remote collaboration tools, and possesses a can-do attitude.

Key Responsibilities:
Manage and maintain complex calendars for multiple executives, including scheduling meetings, appointments, and calls across different time zones. Coordinate and arrange domestic and international travel, including flights, accommodations, visas, and ground transportation. Prepare and edit correspondence, communications, presentations, and other documents. Conduct research and prepare reports on various topics as requested. Manage and process expense reports and invoices accurately and in a timely manner. Organize and prepare materials for meetings, including agendas, minutes, and follow-up actions. Serve as the primary point of contact for internal and external stakeholders, fielding inquiries and directing them appropriately. Handle sensitive information with the utmost discretion and confidentiality. Anticipate the needs of the executives and proactively address potential issues. Streamline administrative processes and implement best practices for remote work efficiency. Manage special projects as assigned, demonstrating initiative and problem-solving abilities.
Qualifications:
Proven experience as an Executive Assistant or in a similar senior administrative role. Excellent command of English, both written and spoken. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. Experience with virtual meeting platforms (Zoom, Microsoft Teams, Google Meet). Strong organizational and time-management skills, with the ability to prioritize effectively. Exceptional attention to detail and accuracy. High level of discretion and confidentiality. Ability to work independently and as part of a remote team. Proactive approach to problem-solving and task management. Demonstrated ability to manage multiple priorities and meet deadlines. Familiarity with project management tools is a plus.
