Operations Assistant (Part-Time)

Time Commitment: 20 hours per week (work hours must overlap with US personnel work hours) Contract Period: March 1, 2026 – December 31, 2026, with the potential to extend based on business needs and mutual interest Location: Fully remote Reports to: Director of Finance, HR & Operations Compensation: $15-25/hour, dependent on location and experience About the Role The Operations Assistant will provide administrative and operational support to ensure the smooth functioning of internal systems and external communications channels at Transparentem. This role supports senior leadership and cross-functional teams, including operations, finance, HR, fundraising, and communications, contributing to organizational effectiveness to better deliver on Transparentem’s mission to drive labor and environmental justice by allying with workers and communities to uncover abuses in global supply chains. The Operations Assistant will report to the Director of Finance, HR, and Operations. Key Responsibilities The Operations Assistant will be responsible for providing logistical and administrative support to the Operations Team, including but not limited to the following duties: • Inbox Management: Monitor Transparentem’s general inbox, respond to routine inquiries, and triage or escalate messages as appropriate. • Internal Communications & Reminders: Send reminders and communications to staff regarding internal operations (e.g., expense coding and reimbursements, timekeeping and HR deadlines, team-wide meetings). • Expense Coding & Financial Support: Code expenses for senior leadership in accordance with organizational policies, working closely with the Director of Finance, HR & Operations to ensure accuracy and compliance. • Operational & Logistical Support: Provide support for general operational tasks as needed, including but not limited to team retreats, board meetings, employee reviews, and strategic planning. • Owned Communications Support: Under the guidance of Communications leadership, perform basic website maintenance and updates, liaise with contractors, and draft social media content in coordination with programmatic staff and leadership; format and update collateral and other materials as appropriate to ensure accuracy and consistency. • Event Planning Support: Provide organizational support and management for fundraising and other partner events, both remote and in-person. • File Management & Organization: Maintain and improve operations-related file structures; clean up, organize, and standardize shared files and documentation as needed. • Scheduling: Provide scheduling and other administrative support to Transparentem senior leadership and the Operations Team. Qualifications • Excellent written communication and organizational abilities. • Strong attention to detail. • Ability to manage multiple tasks and deadlines independently. • Comfort working with shared inboxes, calendars, and e-filing systems. • Experience working in operations, administration, logistics management, event planning, or office support. • Passion for Transparentem’s mission or human rights/the environment. • Professional discretion when handling sensitive information. Time Commitment The Operations Assistant will work an average of 20 hours per week during the contract period. Though their schedule may vary, we will ask them to work a majority of their hours between Monday – Friday, 9am – 8pm Eastern Time, USA, to ensure they are available for time-sensitive support as needed.
