Position Summary

Miami Valley Community Action Partnership is seeking a dedicated and service-oriented Office Assistant to serve as a primary point of contact for clients and community members. This role plays an essential part in supporting daily operations by providing administrative support, assisting clients, and helping ensure smooth service delivery across programs.

The Office Assistant will answer phones, respond to inquiries, assist with applications, maintain records, and support outreach efforts while helping connect clients to needed services.
Key Responsibilities
Administrative Support
  • Assist with preparation of reports and program applications
  • Perform data entry and word processing
  • Maintain accurate files and administrative records
  • File invoices and documentation
  • Provide general administrative support as needed
Phone & Client Support
  • Answer and route incoming calls
  • Take and distribute messages to appropriate staff
  • Provide program information to clients
  • Assist with applications and service inquiries
Appointment Scheduling
  • Provide clients with HEAP appointment details
  • Ensure clients are prepared for scheduled meetings
Transportation & Billing Oversight
  • Ensure completion of driver/dispatcher logs and time records
  • Monitor transit vehicle efficiency and maintenance
  • Assist with accurate and timely billing submissions
  • Ensure invoices are coded and processed appropriately
Outreach & Client Services
  • Assist with emergency outreach support
  • Provide food referrals and program guidance
  • Maintain confidentiality and follow HIPAA protocols
  • Establish and maintain professional client boundaries
Community Engagement
  • Represent the agency at community meetings when needed
  • Network with community partners and resources
Additional Duties
  • Serve as alternate support for the Darke County Emergency Homeless Shelter Manager as needed
  • Perform other related duties as assigned
Qualifications
  • Associate-level coursework in business office applications
    OR
  • Minimum of 24 months of experience in an administrative or secretarial role
