Job Details Level: Management Job Location: Home Office - Oklahoma City, OK 73134 Position Type: Full Time Education Level: 4 Year Degree Travel Percentage: Occasional Job Shift: Day Job Category: Health Information Management (HIM) JOB PURPOSE: The primary purpose of this position is to assure that medical records are maintained in accordance with federal and state guidelines, as well as in accordance with our established policies and procedures, to assure that a complete medical records program is maintained. The Director of HIM is also responsible for enacting records updating and retention policies, ensuring that procedures and regulations are being followed, and creating reports as needed by hospital administration or government agencies as well as the organizations privacy program. ESSENTIAL FUNCTIONS INCLUDE BUT NOT LIMITED TO: • Assure Medical Records department is maintaining records in accordance with state and local laws and regulatory requirements. • Define, develop, maintain and implement policies and processes that enable consistent, effective health information management practices which minimize risk and ensure the confidentiality of protected health information (PHI), paper and/or electronic, across all media types. • Provides oversight for a system for safeguarding and updating active and inactive patient medical records. • Coordinates and/or oversees the release of medical correspondence and information to ensure regulatory compliance. • Ensures training to all HIM Staff and Managers in understanding their main responsibility is to maintain and control confidentiality and integrity of all medical record documents. • Responsible for developing HIM policies and procedures, and maintaining, reviewing and updating them as appropriate. • Trains and consults HIM Managers on the daily operations of the medical records department. • Evaluates performance and provides training as appropriate in areas identified as needing improvement. • Collaborate with the corporate compliance officer and information security officer in their efforts to carry out the organization’s security and privacy compliance programs, including assisting with the development or revision of policies, implementing best practices, and conducting investigations. • Assist the organization in its performance of privacy risk assessment and analysis, as well as mitigation and remediation efforts. • Conducts related ongoing compliance monitoring activities in coordination with the organization's other compliance and operational assessment functions. • Serves in a leadership role for confidentiality, integrity, and quality of patient medical record concerns. • Works with organization administration, legal counsel, and other related parties to represent the organization's health information interests with external parties (state or local government bodies) who undertake to adopt or amend legislation, regulation, or standard governing medical records, coding and/or reimbursement activities. • Promotes compliance with federal and state laws as they relate to medical records within the organization and related entities. • Maintains current knowledge of applicable federal and state medical record privacy laws and accreditation standards. • Assists the corporate compliance officer in any government reviews or investigations with the U.S. Department of Health and Human Service's Office for Civil Rights or Office of Inspector General, State regulators and/or other legal entities as necessary. • Serves as a resource on health information management practices and standards to the organization regarding the availability, confidentiality, integrity, privacy, quality, and security of patient health records. • Ensures HIM forms, policies, standards, and procedures are up-to-date and comply with applicable regulations. • Additional duties as requested within scope of practice. EDUCATION/ CERTIFICATION/LICENSURE: • Bachelor’s degree in health information management and/or health related field • CPC/CCS and RHIT or HIM certification required (RHIA preferred) EXPERIENCE: • Five years’ experience in acute care hospital or critical access (with a minimum of two years of supervisory experience) PHYSICAL REQUIREMENTS: • To perform this job successfully, an individual must be able to perform each essential job duties satisfactorily.
